How we process personal data in connection with Noviqent Find a Tender.

1. What we collect

  • Account details: name, email address, hashed password (or Noviqent single sign-on identity).
  • Organisation details you provide: organisation name, and any company profile information you choose to enter (e.g. turnover, certifications, insurance levels) once that feature is available.
  • Usage data: searches performed, saved filters, and tenders you view or track within the Service.
  • If you connect your own AI provider API key: that key, stored encrypted, used only to call that provider on your behalf.

2. Notice data is not personal data about you

Public tender notices indexed from Find a Tender Service and Contracts Finder relate to contracting authorities and their published procurements, not to you personally. Where a notice includes a named contact at a buyer organisation, that is the buyer's own published contact detail, processed here only as part of the reproduced public notice.

3. Why we process it

  • To operate your account and provide the search/tracking service (contract necessity).
  • To keep the notice index up to date (legitimate interest - operating the core service).
  • To send you saved-search alerts you've opted into (consent/contract, once that feature is available).
  • To secure the Service and investigate misuse (legitimate interest).

4. Sharing

We do not sell personal data. Your account may be usable to sign in to other Noviqent products via a shared Noviqent account - see that product's own privacy notice for how it processes your data once you use it.

If you connect a third-party AI provider, relevant text is sent to that provider under your own account with them, subject to their own privacy terms - we do not control that processing.

5. Retention

Account and organisation data is retained for as long as your account is active, and for a reasonable period afterwards to meet legal and accounting obligations. Indexed public notice data is retained to preserve historical search and tracking value; it reflects a snapshot of a public government record, not something we can amend on your behalf.

6. Your rights

Under UK GDPR you have rights to access, correct, delete, restrict, and port your personal data, and to object to certain processing. Contact us using the details below to exercise these rights, or to complain to the ICO if you believe we have not handled your data correctly.
